Handwoven Sarongs as Corporate Souvenirs in Indonesia: How to Plan Budget, Quantity and Timing

Corporate souvenirs are often planned at the last minute. The recipient list is finalized a week before the event, the budget turns out not to cover packaging, and the goods arrive the day before they are handed out. For handwoven souvenirs that can't be rushed, that approach is risky.

This guide is for HR, general affairs and procurement teams in Indonesia who want to use handwoven sarongs as corporate souvenirs. It covers budget, quantity, design and packaging, timing, procurement documents and delivery.

When a handwoven sarong makes a good corporate souvenir

A handwoven sarong suits events where recipients wear sarongs or appreciate traditional textiles. Think company anniversaries, annual general meetings, employee gatherings, long-service awards, or visits from overseas guests.

Occasion ideas and personalization options are covered in depth in our guide to handwoven sarongs as corporate gifts.

Set a budget per recipient

Souvenir budgets often count only the price of the item. The real cost per recipient has several parts:

  • the price per sarong, which you can see in our catalog as a starting point;
  • packaging, such as a gift box and a greeting card;
  • labels or branded packaging, if you order custom;
  • delivery to one or several addresses.

Ask for a quote that separates these parts, so it is easy to adjust if the budget changes. What drives the price per piece is explained in our guide to bulk sarong orders.

Count your quantity in kodi

Sarongs are counted in kodi: 1 kodi is 20 pieces. For ready designs, Heritage Loom accepts orders from 1 kodi in total, and you can mix motifs and collections as long as the total comes in whole kodi. For custom designs, each design is ordered in whole kodi and can't be mixed.

For example, an event with 180 recipients plus a buffer of about 10% for extra guests needs 198 pieces, so order 10 kodi (200 pieces). With ready designs, those 10 kodi can be split across motifs, for example one motif for directors and guests and another for employees.

Choose ready or custom designs

  • Ready designs: the fast, flexible option. Orders under 5 kodi are processed in 7 business days, and motifs can be mixed.
  • Custom designs: for your own colors, motifs, size, logo, labels or packaging. Lead time is confirmed against your specification, and custom pieces can't be returned.

Going custom? Read our guide to custom sarong manufacturing and see the service scope on the Heritage Custom page. To pick a kepala and badan combination for a custom design, see our guide to sarong anatomy.

Packaging and personalization

A souvenir is judged the moment it is opened. Heritage Loom's signature gift box presents the sarong ready to hand out, and a small card with the weaving story and how to wear it makes it more memorable.

For your company name or logo, choose a small label or branded packaging rather than a large logo on the cloth, so the sarong still gets worn.

Consider adding a small care card to the packaging; our guide on how to wash a sarong includes one.

Count back from the event date

Start from the event and work backwards:

  1. Delivery: allow time to ship to the venue or to each branch, plus a few days of buffer.
  2. Production: 7 business days for ready designs under 5 kodi. Larger orders and custom orders are scheduled with our team.
  3. Deposit and confirmation: production starts once the 50% deposit is received, and the balance is due when the order is ready to ship.
  4. Samples: samples are available on request, and we cover half of the sample shipping cost.
  5. Recipient list and budget: finalize these first, because every other step depends on them.

Prepare procurement documents early

Many companies require a formal quotation, a purchase order, an invoice or vendor registration before payment. Mention these in your first request, including whether your company needs a tax invoice (faktur pajak), so the deposit isn't held up in finance.

Plan the delivery

Decide whether the souvenirs go to one address or several branches, and who receives them at each location. Heritage Loom packs 100 pieces per carton, so delivery to many branches is worth discussing at the quotation stage.

Ready designs can be returned within 5 business days of receipt, as long as they are unused, unwashed and in their original packaging. The full terms are in our shipping and returns policy.

Start planning your corporate souvenirs

Browse ready designs in our catalog, or see Heritage Custom for souvenirs in your company's colors and branding.
